Creating an Order

Some customers occasionally need help to place and order, while others routinely prefer to order by phone. If your store has a call center, then phone orders might represent a significant part of your business. The ability to create a new order directly from the Admin panel represents an additional level of personalized service that you can provide for your customers.

The Create New Order form includes all the information that you need to complete the normal checkout process. For existing customers, new orders can be created from either the Manage Customer page or from the Sales Order page, which can also be used to open accounts for new customers. A summary of all activity related to the order is available for customers to review in their account dashboard.

For existing customers, new orders can be created from either the Manage Customer page or from the Sales Order page, which can also be used to open accounts for new customers.

The following instructions describe two different ways to create a new order.  For existing customers, new orders can be created from either the Manage Customer page or from the Sales Order page. In addition, the Sales Order page can be used to open accounts for new customers.

Step 1: Initiate the Order

Method 1: Start with an Existing Customer Account

  1. From the Admin panel, select Customers > Manage Customers.
  2. Click the Create Order button.
  3. Find the customer in the list, and click to open the record.
  4. Review the information in the following sections, to make sure that is is current and complete:
    • Account Information
    • Billing Address
    • Shipping Address

Method 2: Start with a New Sales Order

  1. From the Admin panel, select Sales > Orders.
  2. Click the Create New Order button.

  4. Do one of the following:
    • For a registered customer, find the customer in the list and click to open the record.
    • For an unregistered customer, click the Create New Customer button.
  5. Complete the order information as you would if going through the regular checkout process. For a new customer account, complete the following sections:
    • Account Information
    • Billing Address
    • Shipping Address

Step 2: Add Products to the Order

Products can be added to the order by selecting each item from the catalog, or by transferring the information from a previous order, the customer’s wishlist, recently viewed products, or other activities.

  1. Click to the Add Products button.
  2. Click the Reset Filter button to list all products. Then, do the following:
    1. Use the filter controls to find the products to be added, and click the Search button.
    2. Select the checkbox of each product to be added to the cart and if applicable, enter the Qty to be purchased.

    4. If the product has multiple options, click the Configure link. Then, complete the options as needed, and click the OK button.
    5. Click the Add Selected Product(s) to Shopping Cart button to update the cart. The cart contents appear in the Items Ordered section of the form.
  3. To override the price of an item, do the following:
    1. In the Items Ordered section, select the Custom Price checkbox. Then, enter the new price in the box below.
    2. Click the Update Items and Qty’s button to update the cart totals.

  4. If the customer has a coupon or gift card, enter the information in the following sections of the form:
    • Apply Coupon Codes
    • Gift Cards
  5. Complete the Payment Method and Shipping Method sections of the form as needed for the order.

  6. When complete, click the Submit Order button.
  7. Add Products to Cart
